Accommodation

Through the official booking agent (Zibrant) for the AIIM Forum we have negotiated discounted rates with a number of hotels.

Catering

A catering point will be established in the main exhibition area from 08:30 to 16:30 serving lunch, drinks and snacks.

All catering is free of charge to exhibitors and delegates.

Deliveries

To help with the delivery process we have produced a delivery note (link to delivery note) with clear instructions, see below.

  • Mark boxes: Use the delivery note attached and mark boxes “AIIM Forum UK.”
  • Mark the name of organisation on each box (not just the delivery company).
  • DO NOT ship boxes to arrive before Tuesday 24 June, as the venue will not accept them.
  • IMPORTANT: If your boxes need to arrive before Tuesday 24 June special arrangements must be made.  Call +44 (0)1892 820 940 or email eli@revolution-events.com to organise this.
  • We are expecting a total of around 300 attendees so if you are sending literature we suggest a maximum of 300 copies should be sent.

The delivery note should be clearly displayed on all items sent to the ILEC Conference Centre.

Storage in the exhibition area is limited. Where possible please ask your courier to remove any boxes that are not required. Please see Eli Tomkinson if you require storage once at the venue.

Haulage / Equipment Transport

If you require help with the haulage / shipment of your equipment for the AIIM Forum UK please contact Eli Tomkinson.

International Deliveries

It is essential that any items sent to the UK from overseas are clearly marked.  It is of paramount importance that description forms are completed fully for customs.  Please ensure that you allow plenty of time for your international items to arrive.  Items can be held in customs for up to 7 days.  If you do not have a UK address that items can be shipped to in advance please contact Eli Tomkinson to discuss your requirements. 

Insurance

It is recommended that all Exhibitors take out insurance to cover themselves against loss of property and/or damage to their stand, etc.

Scanner Hire

All delegates at the AIIM Forum UK will be wearing a badge complete with a barcode, which contains their full contact information.  To help maximise your participation at the event we recommend the hiring of a scanner, which will enable you to capture these details.

Scanners start from just £140 +VAT.

To order a scanner please complete and return the Scanner Order Form to Circdata no later than Friday 6 June.

Security

Whilst every reasonable precaution is taken to ensure the safety and security of personnel and equipment, the Organisers cannot accept any responsibility whatsoever for any loss or damage or any consequential losses which may befall your personnel or property.

We would strongly recommend that valuables, particularly those of a portable nature such as Laptops, DVD Players etc, are not left unattended on your stand or in the conference room at any time but especially during the breakdown period.  If you think you may need storage for a particular period of time please contact the Organisers on site and we will try our best to accommodate your needs.

A primary objective of ours is to deny access to the professional thief. In order to do this we operate a no badge, no entry rule. This rule applies not only to delegates but to sponsors, speakers and staff as well.

If there is an incident on your stand resulting in loss of property, please make sure you report it to the Organisers on site, unfortunately failure to do so could result in your insurance claim being made void.

Sponsor Badges

As mentioned previously the AIIM Forum UK operates a no badge, no entry rule. This applies to all attendees to the event including delegates, speakers, staff and all sponsors.

To order your badges please complete and return the Sponsor Badges form to Eli Tomkinson no later than Friday 6 June. Your badges will be available for collection at the AIIM registration desk on site.
